Finance and Operations Coordinator

Birdability is seeking an energetic self-starter to join a new nonprofit in the sphere of nature and social justice. The Finance and Operations Coordinator will provide high-quality financial, administrative, and operational support to the Board of Directors. Specifically, this person will be responsible for the timely processing of gifts and gift acknowledgments, payables, and ensuring the smooth operation of the (virtual) Birdability office. Our new colleague will bring a passion for nature and social justice, an exceptional organizational ability, and a can-do attitude to this role.
Birdability is a new nonprofit with the mission to share the joys of birding and the outdoors with people who have disabilities and other health concerns. You will be joining an organization with a passionate team of volunteers, whose programs and events aim to improve the physical accessibility of birding locations, empower a welcoming and inclusive birding community, and invite people with disabilities into birding. Although you will be one of only two staff persons, Birdability has a national reach.
This is a 20-hour per week, nonexempt position, with the possibility of increased hours moving forward as Birdability continues to grow as an organization. The salary is $30,000 per year. This position will remain a remote position, and the ideal candidate will have the capacity to increase their hours as time goes on.
Essential functions

Serve as the financial point of contact for Birdability:

Ensure that bills are paid on a timely basis and that invoices are coded correctly to reflect the type of expense, the nature of the work, and the grant or funding source (as necessary).

Assist in sending invoices and tracking receivables.

Maintain and ensure receipts for debit card activity are organized, received, and approved for all purchases.

Manage and track all budgets, income, and expenses for grants.

Work with the bookkeeper to produce monthly financial report for Board of Directors.

Prepare for and manage logistics of board meetings and other key meetings.

Maintain employee files; manage background checks for all new contractors/employees.

Manage gift receipt and processing:

Track and report on donations each month.

Prepare and send thank you letters.

Respond to phone inquiries.

Maintain and update records in our donor database, including donor contact/activity notes, contact information and preferences, and other information.

Follow up with donation inquiries.

Prospect new donation opportunities.

Manage state-based fundraising registrations.
Secondary functions
To the extend that time permits, the successful candidate may also be called upon to assist the Director of Programs and Outreach with a variety of tasks, including fundraising communications, newsletter preparation, online events and other matters identified by the Director of Programs and Outreach.
Qualifications and Experience

4-year college degree preferred.

2-3 years of nonprofit administrative and operations experience.

Exceptional organizational ability, attention to detail, the ability to manage multiple priorities, and a can-do attitude are essential.

Knowledge and enthusiasm for birds and social justice desired.

Proven ability to track, provide follow up, and move tasks/projects to completion in a fast-paced environment.

Willingness to handle requests large and small with a great attitude.

Ability to work independently as well as part of a small team.

Excellent professional skills in customer service, writing, editing, and communication.

Critical thinking skills and a problem-solving attitude.

Must be able to attend online events outside of business hours, including monthly meetings and community events for outreach and education.

Must be very comfortable communicating with donors, volunteers and others.

Must be proficient in Microsoft Office, including Word, PowerPoint and Excel.

Must be proficient in QuickBooks.

Proficiency with Google Drive, Box, Slack and common internet tools.

Proficiency in Bloomerang or other CRM systems strongly preferred.

Experience working with donors, grants, and development a plus.
